Dear Colleagues:

As you may know, the University routinely receives requests from the media and other members of the public for documents pursuant to the California Public Records Act (CPRA).  We are writing as a reminder of the process for handling such requests, which are coordinated by the Office of Information Practices (OIP).

OIP is located in Suite 600 of the Wilshire Center, under the direction of Rebecca Beatty.  Rebecca coordinates all requests, and works closely with Campus Counsel, Media Relations and other units on campus and at UCOP in the compilation and release of documents.  There are a number of considerations that guide this process.

First, there are legal requirements associated with the turnaround time on responses to CPRA requests.  Oftentimes, the language of requests for documents is not clear, or public documents may contain information that is personal or privileged, requiring redaction.  Accordingly, any such requests you receive must be addressed immediately, in the following manner.

  • Please forward any non-media requests to OIP as soon as you receive them.
  • Please forward any media requests for documents directly to Carol Stogsdill, cstogsdill@support.ucla.edu, in the Office of Media Relations (OMR) (x52485) with a copy to Rebecca Beatty in OIP, rbeatty@finance.ucla.edu (x48688).  OMR will interface directly with the media and coordinate with OIP regarding the response.
  • Additionally, you must be sure to compile documents requested of your unit by OIP in a timely manner, consistent with CPRA guidelines governing turnaround times.
