Concur's non-travel and non-entertainment (non-T&E) reimbursement process is now live! Here’s everything you need to know about this exciting change.
Effective today, July 10, all new non-T&E reimbursements must be submitted through the Concur system.
Will I automatically receive Concur access?
All UCLA employees have Concur access and can use the non-T&E reimbursement functionality. Non-employee reimbursements require a guest profile. Additional information can be found in our training materials.
If you experience any access issues, please contact our non-T&E reimbursement team.
What about non-T&E reimbursements that were submitted through BruinBuy prior to July 10?
We are actively working to review and process outstanding BruinBuy reimbursements. Processing of reimbursements that have all the required information should be completed by Monday, August 14.
Do not submit existing BruinBuy reimbursements through Concur—this may result in duplicate payment.
What should I do if I have a non-T&E reimbursement on H&I?
- If you’ve already resolved the H&I issue and contacted AP, no additional action is needed. We’ll notify you once the reimbursement has been successfully processed.
- If you need help resolving the H&I issue, come to our biweekly office hours.
New Exception Request Form
Reimbursements are a last resort after all other procurement methods have been explored. Certain expense types and amounts require pre-approval prior to being made as an out-of-pocket purchase.
Our new exception request form streamlines this pre-approval requirement and should be submitted at least one week before the associated purchase is made.
